FILL
IN, VALIDATION AND SENDING OF THE FORMS. Information
about identifiants and passwords. - Using
internet and the obligation of the respect of confidentiality imply the respect
of the access security. The most appopriate mean is the use of passwords and codes.
For this application, you will have to know three codes or passwords.
- To
access to the forms management :
- Member
Code : 5 numbers code generally 1XXXX.
- INPUT
Password : It allows you to fill in the form and begins
with SAISIE
- SENDING
Password: It allows the laboratory manager to validate the forms after input and
to Send them to Bipea. It begins with ENVOI.
- Be
careful : for the codes and passwords, always respect capital and small letters.

Step 1: click on Access Member Area. - You
are redirected to a secured page in our Extranet Site.
|
Top
Step
2: Consult
the forms to be filled in. Enter the member code and the Input code (SAISIExxx)
on the identification screen.
- The application manages, from your
member code and the date, the available forms. It depends on :
- Your
participations to the P.T.Schemes.
- The
date of the sending of the samples.
-
A form appears online automatically the day after the sending of the sample.
- It
is automatically suppressed the days after the deadline.
- Note
: Even if the
forms can be filled in until the deadline, we hardly advise you not to wait
for the last day to send your results. So you will avoid risks of incidents on
Internet or saturation of the servers. Top

If
you want to print your form to write the résults, we advise you
to use the IMPRIMER/PRINT at the bottom of the form. In
every case, now you can control your print :
If the text
-Fin du formulaire/end of form- does
not appear at the end of the form (just before the buttons and comments),
your form is not complete
Top
Step
4 : Fill in your form.
- BE CAREFUL
: As
on paper forms, every mistake on the sample code makes your form non valid because
of a traceability loss. There is no "a priori" control by the application.
-
IMPORTANT
: If your result is expressed compared with a limit of detection
or quantification, you must IMPERATIVELY select, in the drop-down menu preceding
the box, <, >, LD or LQ, and then OBLIGATORILY indicate the value of your
limit of detection or quantification in the results box.
Thus, for example,
results of the type = < 0.001 are regarded as non conformable.
= Conformable
!
= Non-conformable
!
- Few
advice for filling in :
- The
Tab key allows you to move from case to case..
- The
Enter key allows you to save the form at any moment.
- You
can find the usual different elements, choice of methods, informations about units,
orange grids with box format (number before and after decimal point has to be
respected).
- Remarks
:
- The
square case does not replace the comma. The comma (or decimal point)
must be entered if your result includes one.
- When
the analytical criterion includes a method code, this code MUST
be input. If it is not, the application will send you back an error message when
saving (a red vertical mark is indicating the mistake). If your method is not
listed, you will find the choice "other methods" (z).

- Note :
When filling in, the numbers are not aligned to the boxes. This difference is
bound to an eventual negative sign before the number. You can :
- Either
input the numbers naturally in the left side (like bellow),
- Either
put a space before to align them to the box,
- Or
insert 0 before.

- In each
case, after saving, the alignment is automatically corrected !

- The form can be filled in using as
any sessions as you want. It is just necessary to always
think of saving before you quit the form.
- The
person who inputs the results can write remarks for the one who validates and
sends. These remarks are not accessible by Bipea.

- Save/Sauvegarder,
allows you to keep the filled form in memory on a special buffer base. Bipea
has no access to that area.
- You
can Print (Imprimer)
the form at every moment.
- Back(/Retour)allows
you to go back to the list of available forms. If
you click on Back without saving, you will loose all your modifications
!

Step
5 : Send your form to Bipea. 2
possible ways - Click
on the button Access to validation (/ Accéder à la validation)
after the input. That sends you back to the identification screen
- Pass
directly by the identification screen by using the sending password (ENVOIxxx).
- To
have access to the form, just click on the arrow on the right side
of the
line. - There
are four possible statutes for the form : Free - In Progress - Sent -
Treated.
- Free
: unchanged form.
- In
Progress : form partially or fully filled.
- Sent
: form already sent to Bipea.
|
- When validating
a form, it is not possible to change the results directly. You have to quit and
come back to the input area to modify it.
- Do not forget to write your
name out in full. It is the electronic equivalent of your visa on the paper forms.
- After verifying, you can send
the form by clicking ont the button "Send to Bipea
(/ Transmettre au Bipea)".
- After clicking
on the button Send to Bipea(/Transmettre au BIPEA),
a dialogue box informs you that the sending is definitive. Click on Ok ! and you
will receive a transaction number. It is shown at the top of the forms in white
color on blue background. PRINT IT
!
It will be asked in case of an eventual dispute about these results or their sending.
-
Now, you have sent your results to Bipea.
They have been transfered on our work base, where they will be validated and treated.
